Our Approach to Consent
DocuServices NZ operates on the principle that no document review, data validation or identity-related support takes place without the explicit, informed consent of the person whose data is involved. Consent is not assumed, implied or bundled into general terms — it is obtained specifically for each review, with the purpose clearly stated.
We treat consent as an ongoing condition, not a one-time event. If the purpose of a review changes, new consent is required. Consent can be withdrawn at any time, and withdrawal means we cease processing immediately.
Consent is purpose-specific
When you ask us to validate your marriage certificate data for an immigration application, that consent covers that specific purpose. We do not repurpose that consent to validate other documents, share data with third parties, or use the data for any other reason.
Our Four Core Privacy Principles
Data We Collect and Why
The data we handle depends entirely on the service being requested. For a marriage certificate data validation, we review the data on the certificate together with any supporting documents you provide (such as a passport or birth certificate). We handle only what is needed to complete the review.
- Certificate data — names, dates, places and registration details as they appear on the BDM certificate
- Reference documents — supporting identity documents provided for cross-referencing, handled only for the duration of the review
- Contact information — email or postal address to communicate the validation report
- Consent record — documentation of the consent provided, the purpose stated and the date
We do not retain copies of certificates or identity documents after the review is complete, unless you specifically ask us to for a defined follow-up purpose.
Your Rights
Under GDPR (which applies to our operations through GOV PAPERS SL, based in Spain) and the New Zealand Privacy Act 2020, you have rights over your personal data. These include:
- Right of access — you can request a copy of the personal data we hold about you
- Right to rectification — you can ask us to correct inaccurate data
- Right to erasure — you can ask us to delete your data (subject to any legal retention requirements)
- Right to withdraw consent — you can withdraw consent at any time, without affecting the lawfulness of processing before withdrawal
- Right to object — you can object to processing in certain circumstances
To exercise any of these rights, contact us at [email protected].
Our Compliance Model
DocuServices NZ operates within a compliance model designed around clear consent, limited data use, official-source transparency and honest communication. We do not replace official government checks, and where formal confirmation is required we direct users to authorised government channels.

DIA Confirmation Service Readiness
DocuServices NZ is preparing a consent-based document review and verification-support model for New Zealand marriage certificates. We are seeking information on the correct pathway to be assessed for any DIA-approved intermediary role, including technical, privacy, security and operational requirements.
Current status
DocuServices NZ is not currently an approved DIA intermediary and does not currently have access to the DIA Confirmation Service. This section describes capabilities and controls we are developing in preparation for a formal assessment process. All current operations remain within our scope as an independent information and support provider.
